Job Description

RCL Foods is seeking a motivated and dynamic Crates Clerk to join its baking division.

The ideal candidate will be tasked with the precise recording and reporting of crate movements.

Strong organizational and communication abilities are crucial for this position.

Minimum Requirements

Education

• Completion of Grade 12

Skills

• Proficiency in reading, writing, understanding, and communicating in English.
• Strong numerical skills.
• Competence in Microsoft Office, particularly Excel.

Experience

1-2 years of experience in an administrative role.
Experience in the bakery sector is a plus.

Duties & Responsibilities

Crate Management

• At the beginning of each shift, ensure that all crates are organized in the designated storage area.
• Conduct a physical count of crates every morning.
• Ensure that all crates categorized as 1s and 2s are allocated to the appropriate routes.
• Reconcile the physical count with the crate movement file and dispatch count.
• Investigate any discrepancies in crate transactions and report findings to the Manager.
• Compare your crate inventory with JDE PI and the crate report.
• Verify crate slips against JDE transactions.
• Acquire the crate sheet variance report from Dispatch and compare it with the actual crate slips.
• Ensure that the Dispatch KPI report aligns with the physical crate count.
• Confirm that each route has a monthly reconciled baseline per customer.
• Daily, stack damaged crates in the container, record them, and deduct them from the total pool.
• Separate crates that do not belong to Sunshine Bakery from those that do.
• Initiate and coordinate crate collections as necessary.
• Ensure that dirty crates are cleaned weekly.
• At the end of each shift, provide a report on the crates available for production.

Crate Management

• Conduct daily driver debriefs to ensure accurate completion of crate sheets.
• Review the previous day’s crate sheets and contact drivers daily to address shortages and document discrepancies.
• Ensure drivers prepare crate sheets for the following day with accurate balances.
• Add new customers to crate sheets and report any lost customers to the Sales department.
• Monthly reconciliation of a KPI report concerning damaged crates.
• Provide monthly reports detailing losses and gains.
• Ensure all weekly and monthly reports are sent via email in a timely manner.
• Maintain daily verbal communication with drivers, van assistants, and route controllers.
• Engage in daily communication with the Dispatch and Sales teams.
• Report any deviations or issues to your line manager.

General Responsibilities

• Manage the Time and Attendance system by editing hours for drivers and van assistants.
• Notify customers regarding late deliveries or changes in pricing.
