Sales Assistant Learner – What Lies Ahead?

As a vital member of the Commercial Team, you will oversee the management of the customer project system and follow up on essential actions stemming from Key Account Manager customer visits, providing secretarial support, backup, and administrative assistance to the Commercial Key Account Manager.

Your responsibilities will include: updating and maintaining Commercial and Customer systems, as well as managing Master Data for customers.

In this dynamic role, you will:

Coordinate Sales:

  • You will compile monthly sales reports to enable the Commercial Director and Key Account Manager to assess the performance of each customer.
  • You will support the Commercial Director and Key Account Manager with general CRM needs.
  • You will assist in the planning and coordination of customer visits.
  • You will help prepare materials for customer presentations by the Key Account Manager and Commercial Director.
  • You will request price quotes and communicate them to customers.
  • You will track customer price adjustment schedules and ensure timely updates of prices in the system for all customers.
  • You will manage the relevant customer master data input and data management for the commercial team across Givaudan systems.

Management of the Sample Department:

You will be responsible for requesting flavor samples from various units for customer briefs or for comparative analysis for clients through the CRM system. You will ensure the dispatch of all samples along with the necessary documentation and certifications. Additionally, you will oversee all samples related to customer projects and keep clients informed of any updates.

Secretarial Duties:

You will coordinate travel arrangements for the Key Account Manager. You will organize and file general correspondence for the department. You will also update and maintain electronic records of documents and visit reports related to customers and product information. Furthermore, you will collaborate with suppliers to handle administrative tasks and orders for corporate gifts, desk pads, and calendars for customers at year-end. You will ensure the timely distribution of these gifts to clients. Additionally, you will assist in the implementation of the safety system and ensure compliance with all health and safety legislation. You will participate in flavor training and tasting sessions, making flavor recommendations in collaboration with the managers. During the managers’ absence, you will ensure the department operates smoothly by addressing inter-departmental queries or issues. You will also manage any customer inquiries or complaints by liaising with the appropriate individuals to ensure necessary actions are taken and followed through to resolution. You will mentor learners to support the sales administration function and monitor their development. Daily communication with inter-departments (Regulatory, Customer Care, Technical, Pricing team, and system Power-users) will be essential to complete tasks effectively.
