Job Purpose

The primary purpose of this role is to contribute to high customer satisfaction and optimized aftermarket profitability by delivering service in line with customer expectations. The incumbent will support all relevant warehouse functions and ensure dealership compliance with the GVS process across the phases: Planning, On Arrival, and Dealer to Customer & Follow-Up.


Key Responsibilities

Receiving / Inbound

  • Oversee and ensure receiving of goods is done according to Volvo procedures.
  • Verify parts received against documentation within prescribed KPI timelines.
  • Record discrepancies on the GDS system when parts do not conform to standards.
  • Ensure accurate documentation of descriptions and part numbers.
  • Ensure parts are binned according to system allocations (not label allocations).

Outbound

  • Process customer orders and ensure correct picking, packing, and distribution in line with Volvo procedures.
  • Ensure system updates are completed after authorization.
  • Confirm correct parts and quantities are dispatched as per invoice.
  • Provide efficient support to workshop technicians by ensuring timely delivery of ordered parts.

Credit Notes

  • Verify and sign off credit notes before processing.
  • File and store credit notes sequentially.
  • Ensure correct procedures are followed when processing credits (e.g., electrical parts not returned where applicable).

Perpetual Stock Counts & Bin Verification

  • Conduct daily perpetual stock counts as per warehouse volume requirements.
  • Investigate discrepancies thoroughly.
  • Ensure all stock adjustments are authorized before system updates.

Housekeeping

  • Maintain warehouse cleanliness (inside and outside).
  • Ensure correct storage and binning of parts.
  • Ensure timely waste collection.
  • Maintain secure warehouse perimeter.

Exchange Parts

  • Verify that customer-returned parts meet agreed exchange standards.
  • Manage physical receiving and storage of exchange parts.
  • Prepare supplier/core returns.
  • Ensure correct packing and labeling of core parts for return to PDC.

Health & Safety

  • Ensure compliance with Volvo health and safety procedures.
  • Promote a safe working environment for all warehouse personnel.

Qualifications & Experience

  • Matric / Grade 12.
  • Diploma in Warehouse Management or minimum 3 years’ warehousing experience.
